Creating Your First Workspace
When you sign up for Kolaria you are taken through a four-step onboarding flow. The first step creates your organization, which is the workspace where content, GEO tracking, automations, integrations, and team members live. Every workspace URL starts with its slug:app.kolaria.com/your-slug.

Workspace
Enter an organization name and a slug. The slug is generated from the name and you can edit it. Add your website so Kolaria can pick up your brand voice from it, and tell us where you heard about Kolaria.

Visibility
Kolaria asks ChatGPT, Claude, Gemini, and Perplexity what your buyers ask them and checks whether your brand comes up. Pick up to 20 prompts to track from the suggestions or add your own.

Competitors
Confirm the competitors Kolaria detected or add the ones you want to track share of voice against.

Pricing
Choose a plan. GEO tracking requires a Starter, Growth, or Scale plan. If a plan offers a free trial the button reads Start free trial. See Billing & Plans.
While the visibility and competitor steps run, Kolaria also analyzes your website in the background to create a default brand identity. If you already have a workspace with a paid subscription, onboarding is skipped and you land in that workspace.
Creating Additional Workspaces
Click the organization name at the top of the sidebar and choose the option to create a new organization. The dialog asks for a name, a slug, and an optional website. You can belong to as many organizations as you like, with a different role in each.Organization Settings

A URL-friendly identifier used in workspace URLs. Must be 3 to 63 characters: lowercase letters, numbers, and hyphens only.

Click the logo to upload a new one. Accepted formats: JPEG, PNG, GIF, WebP, AVIF.

The organization ID. Read-only; use it when a request or support ticket needs to identify the workspace.
Updating Workspace Settings
- Navigate to Settings > General
- Click the logo to upload a new image; it saves immediately
- Update the name or slug
- Click Save Changes
Changing the slug changes every workspace URL. Kolaria redirects you to the new slug after saving; update bookmarks and any links you have shared.
Other Settings Pages
Two-Factor Authentication
Kolaria supports two-factor authentication with any TOTP authenticator app such as 1Password, Google Authenticator or Authy. Once it is on, every sign-in asks for a code from your app after your password or your Google or GitHub login.Turning It On

Open Account settings
Go to Settings > Account and find Two-factor authentication. Click Set up.

Scan the QR code
Scan it with your authenticator app. If you cannot scan it, click Can’t scan it? to copy the setup key instead.

Enter the code
Type the 6-digit code your app shows. Two-factor authentication is on as soon as the code is accepted.

Save your backup codes
Kolaria shows 10 one-time backup codes. Store them somewhere safe. Each code works once and lets you sign in if you lose access to your authenticator app.
Signing In With a Backup Code
On the code prompt during sign-in, choose the backup code option and enter one of your unused codes. Signing in this way removes the authenticator from your account so you can set up a new one from Settings > Account.Managing Backup Codes
Settings > Account shows how many backup codes are left. Click Regenerate to get a fresh set. Confirm with a code from your authenticator app or an unused backup code. Regenerating invalidates every earlier code.Turning It Off
Under Two-factor authentication, click Remove next to your authenticator app and confirm with a code from the app or an unused backup code. Your backup codes are deleted at the same time.Backup codes and a fresh code from your authenticator app are the only ways to turn two-factor authentication off or regenerate codes. Being signed in is not enough on its own.
Brand Identity
Kolaria writes content in your voice. Brand identities live under Studio > Brand Identity in the sidebar. A workspace can have several identities (for example Marketing, Technical, Internal), one of which is the default. The page has four tabs:- Company Info: profile, tone, language, and audience for the selected identity
- References: real posts that teach the writer your style
- Sitemap: pages Kolaria can link to and monitor for AI discovery
- Brand Guidelines: logos, colors, typography, and screenshots pulled from your site
Website Analysis

Enter your website URL
On a new workspace, or when adding an identity, enter your website (for example
example.com) and click Analyze.2
Wait for the analysis
Kolaria scrapes the site, extracts the profile, and saves it. The stepper shows Scraping, Extracting, and Saving.

Review the result
The company name, description, and tone are filled in from your site. Adjust anything that is off.

Company Info auto-saves a few seconds after you stop typing. Changes apply to the next piece of content you generate.
Managing Identities
From the identity selector you can add an identity (name and website), set one as the default, re-analyze it, or delete it. Automations and the create dialog let you pick which identity writes each post.Workspace Management
Switching Between Workspaces
Click the organization name at the top of the sidebar and pick another organization. Kolaria remembers the workspace you visited last and opens it on your next sign-in. You can also switch from Settings > Account, where every organization you belong to is listed with a View button.Leaving a Workspace
In Settings > Account, use Leave next to an organization you do not own. Owners cannot leave; they delete the organization instead. You must always keep at least one organization.Deleting a Workspace
To delete a workspace:- Navigate to Settings > General
- Scroll to Danger Zone
- Click Delete Organization
- Confirm
- You must be the workspace owner
- You must belong to at least one other organization
- If other members exist, you are warned before the deletion goes through
